This Privacy Policy explains how The Promise Plan collects, uses, stores, and protects your information when you visit our website, create an account, enroll in a membership plan, or use any part of our communication and coordination services (“Service”).

By accessing or using the Service, you acknowledge this Privacy Policy and consent to our data practices as described below.

2 | Information We Collect

We collect the following categories of information:

A. Information You Provide Directly

  • Account details (name, email address, phone number, mailing address)

  • Pet details (name, species, medical notes you choose to provide, daily routines)

  • Care instructions (feeding, medications, routines, behavioral notes)

  • Home access information (door codes, lockbox codes, entry notes, if you choose to provide them)

  • Designated contacts (names, phone numbers, email addresses)

  • Escalation instructions

  • Check-in responses

  • Messages and communications with us

  • Consent forms from your designated contacts

You are not required to submit home access information unless you choose to provide it.

B. Payment Information

Payments are processed by our third-party payment processor (Squarespace Payments).
We do not store full card numbers or bank credentials.

C. Automatically Collected Information

We may collect:

  • IP address

  • device and browser type

  • access times

  • pages visited

  • referring URLs

  • usage and interaction data

  • general location information (approximate city/state)

D. Information From Your Contacts

Your designated contacts may provide information through our Contact Consent Agreement or by interacting with us during plan activation.

3 | Cookies & Tracking Technologies

We and our service providers (including Squarespace and analytics providers) may use cookies, pixel tags, web beacons, and similar technologies to:

  • operate and secure our website

  • enable core functionality (such as login and account features)

  • conduct analytics to understand website performance

  • measure the effectiveness of marketing or email campaigns

  • improve user experience

You can control cookies through your browser settings, including blocking or deleting them. Disabling cookies may affect website functionality.

We do not use cookies to collect sensitive data or to sell personal information.

4 | How We Use Your Information

We use your information to:

A. Operate and Provide the Service

  • send check-ins

  • activate your plan

  • notify contacts

  • share instructions once a contact confirms care

  • carry out your documented escalation steps

B. Maintain and Improve the Service

  • troubleshoot service issues

  • improve reliability

  • analyze usage patterns

  • support customer service

C. Process Payments

  • manage subscriptions

  • process charges

  • update billing information

D. Communicate With You

  • operational messages (required for the Service)

  • account updates

  • onboarding messages

  • promotional and marketing emails (optional)

E. Ensure Safety and Compliance

  • verify contact consent

  • prevent fraud or misuse

  • comply with legal obligations

We do not sell, rent, or trade personal information to third parties for monetary gain. We share information only as described in Section 6 of this policy (with your designated contacts during plan activation, with service providers, and as required by law).

5 | Home Access Information

If you choose to provide home access details, you acknowledge:

  • You are legally permitted to share this information.

  • We transmit it only to your designated contact during plan activation and only when they confirm they are stepping in.

  • We do not verify its accuracy.

  • We are not responsible for misuse by your contacts or third parties.

  • We do not take possession of physical keys or access devices.

You may update or delete this information at any time.

6 | How We Share Information

We share information only as necessary:

A. With Your Designated Contacts

During plan activation (when you don’t respond to missed check-ins), we share the following information with the contact who confirms they will provide care:

  • pet details (such as name, species, age, medical needs, routines)

  • care instructions (such as feeding, medications, behavior notes)

  • home access instructions (if you provide it)

  • escalation notes

  • your name and contact information

  • any additional notes you documented in your care plan

We do not share your information with all contacts simultaneously unless no one confirms and your escalation plan instructs us to do so.

B. With Service Providers

We work with trusted third parties (e.g., Squarespace, Twilio, Zapier, and Airtable) for:

  • website hosting

  • payment processing

  • SMS/call/email delivery

  • analytics

  • customer support

  • cloud services

These providers have their own security practices and privacy obligations.

C. With Non-Members You Provide to Us

If you provide us with contact information for someone who is not a Member—such as a friend you'd like to refer to our service, or someone you're considering as a future emergency contact—we may:

  • Send them a one-time informational email on your behalf explaining what The Promise Plan is

  • Invite them to complete a Contact Consent Agreement if you wish to add them as a designated contact

  • Send occasional marketing communications, unless they opt out

All non-members can opt out of communications at any time by clicking "unsubscribe" in any email or texting STOP in response to SMS messages. We do not share, sell, or retain information about non-members beyond what's necessary for these communications.

D. Legal Requirements

We may disclose information if required to do so by law, subpoena, court order, government request, or to protect our rights and safety.

E. Business Transfers

In the event of a merger, acquisition, asset sale, or reorganization, your information may be transferred as part of that transaction. You will be notified if your information will be governed by a new policy.

We do not sell, rent, or trade personal information to third parties for monetary gain.

7 | Data Retention

We retain your information as long as necessary to:

  • operate the Service

  • comply with legal obligations

  • maintain transaction records

  • resolve disputes

After Cancellation

Account data is retained for 30 days for potential reactivation, then permanently deleted.
We may retain limited transaction records as required by law.

When a member cancels, we delete all emergency contact information (names, phone numbers, emails, and consent forms) within 30 days, except where we must retain records to comply with legal obligations or defend against claims.

After Pre-Launch Refunds

If we do not commence service by the stated deadline and a refund is issued:

  • non-transactional information is deleted within 30 days

  • mandatory financial/audit records may be retained

8 | Data Security

We use reasonable administrative, technical, and physical safeguards, including:

  • HTTPS/SSL encryption

  • access controls

  • secure servers

  • limited employee access

  • routine security assessments

No system is completely secure. We cannot guarantee absolute protection.

9 | Data Breach Notification

If a breach involving your personal information occurs, we will notify you in accordance with applicable law, typically within 30 days of discovery.

10 | Your Rights

All users of The Promise Plan have the right to:

  • access the personal information we hold

  • request corrections

  • request deletion (subject to legal retention requirements)

  • request a copy of their information

  • request restrictions on processing

  • opt out of marketing emails

For Emergency Contacts: If you are listed as an emergency contact and wish to access, correct, or delete your information, email privacy@promiseplanpets.com with your name and the member's name (if known). We will process your request within 30 days.

State-Specific Rights

Residents of certain states—including California, Colorado, Virginia, Connecticut, and others—may have additional rights, such as:

  • appeals of denied privacy requests

  • opt-out rights for specific data uses (we do not sell data or engage in targeted advertising)

We will honor all rights required under applicable law.

Designated contacts may request deletion of their data at any time.

11 | Children’s Privacy

The Service is not intended for individuals under 18, and we do not knowingly collect information from children.

12 | Third-Party Links

Our website may contain links to third-party sites. We are not responsible for their privacy practices or content.

13 | International Users

The Service is intended exclusively for residents of the United States. We do not knowingly permit account creation, enrollment, or plan participation by users located outside the United States.

If you access the Service or website from outside the United States, you do so voluntarily and acknowledge that your information will be processed in the United States, where data protection laws may differ from those in your country of residence.

14 | Changes to This Privacy Policy

We may update this Privacy Policy at any time.
Revisions are effective when posted to our website.
Your continued use of the Service constitutes acceptance of the updated policy.
